Thank you for your interest in the Program Support Assistant position located in the Clinical Support ICC Subdivision of the Syracuse VA Medical Center, Syracuse, NY. The following assessment will be used to see if you meet the eligibility and qualification requirements for the position you are applying to. 1. Time in Grade Requirement (GS-06): To be eligible for the GS-06 level, applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements.

The grade must have been held in the Federal service but may have been in any occupation. 2. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade level GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
  • Knowledge of the capabilities, operating characteristics, and advanced functions of a variety of types of software, e.g. Share point, database, excel, word processing, Outlook, CPRS, IFCAP, TMS, VATAS, VISTA as well as any additional required systems.
  • Knowledge of a body of standardized rules, procedures, and operations of the Clinical Support ICC to perform the full range of standard clerical assignments and resolve recurring problems by recognizing the dimensions of the problem involved, collect the necessary information, establish facts, and take or recommend actions based upon application or interpretation of established guidelines.
  • Knowledge of medical terminology in general and in order to transcribe technical material.
  • Knowledge of pay setting, human resources operations, MSS requests, LEAF requests and all other operational aspects needed to oversee the operations of the clinical services' MSAs in providing clinical support to the ICC's departments.
  • Knowledge of secretarial/clerical and administrative/program concepts and practices to complete assignments and recommend changes to existing procedures or to develop new ideas to enhance or streamline procedures.
  • Must have telephone skills to deal effectively with facility staff, representatives from service organizations and a variety of professional, civic, and government bodies, as well as with University contacts.

3. Serves as primary ADPAC assisting staff, contractors, residents, students, and fee basis employees in obtaining computer access and necessary menu/security keys utilizing the EPAS system. (limit characters)

8. Acts as TMS coordinator; assists with ensuring that educational needs and mandates are completed for all Clinical Support ICC staff with variable training requirements based on discipline. (limit characters)
9. Responsible for scheduling meetings including logistics, preparing agendas, setting up video teleconferencing, notifying participants, and taking minutes; gathering information, coordinating and drafting responses to delegated tasks including action items, environment of care (EOC) surveys, suspense's, and secure message escalation; drafting and processing written, electronic, and verbal official communications in a timely and accurate fashion; and preparing and reviewing documents, reports, and all other correspondence for completeness and consistency. 10. Utilizes familiarity with scientific and medical terminology in preparation of correspondence using personal computer (PC) word-processing software whilst ensuring correct punctuation, capitalization, spelling, grammar, and conformance to style. (limit characters)

12. Organizes, maintains, processes, and disposes of routine and confidential paper and electronic files accordingly, MSDS sheets, contingency plans, policies and standard operating procedures, personnel actions, faxes, webpages, and SharePoint content; coordinates correspondence and communication flow including that of a sensitive nature and informs the program leaders of customer service trends and related items.
