Perform initial conference planning tasks, including prepare conference budgets and forms for approval.

Execute pre-conference support tasks, including; collect and process agendas, signage, badges, and tent cards; coordinate catering, AV, transportation services; schedule technical dry-runs and dress rehearsals with internal and external presenters.

Perform onsite and post-conference support tasks, including provide registration desk support; ensure catering service has been delivered on time and properly setup; confirm conference rooms have been setup properly; send post-conference surveys; prepare final attendee reports.

Use highly developed customer service skills to conduct regular planning meetings with researchers to define event goals, purpose, scope; respond to problems and inquires in a timely manner and with a positive outlook.

Prepare conference timeline appropriately to address roles, deliverables, major milestones; promptly identify problems and contribute to solutions.

Work collaboratively with planning staff, AV technicians and/or vendors to troubleshoot technical issues.

Contribute to Statement of Work for vendors, including write brief background for conference service need; clearly outline deliverables and major milestones; review and accurately respond to edits in a timely fashion.
9.
Prepare clear, concise communications to attendees and speakers on how to register, submit materials, and participate in conferences; prepare conference announcements to external layperson audiences for NIST external website.
10.
Summarize directives and policies in plain language for internal audiences; produce written information about conference services as assigned.
11.
Create and assist with modifying online registration site and conference pages.
12.
Assist in setting up and modifying mobile applications for conferences.
13.
Assist in proposing videoconferencing solutions (such as Webex, Zoom) and live streaming platforms (such as Vimeo and YouTube) to clients.
